Job Description

Key Responsibilities:

  • Generate and submit timely and accurate invoices, including AIA and progress billing formats.

  • Monitor accounts to ensure timely collection of payments and follow up on outstanding receivables.

  • Reconcile customer accounts and resolve discrepancies related to billing and payments.

  • Prepare and submit lien waivers, compliance documents, and related paperwork as needed for project funding.

  • Maintain and update customer records, job folders, and contract billing terms.

  • Collaborate with project managers, estimators, and other internal departments to ensure accurate billing data.

  • Provide regular aging reports and cash flow forecasts to management.

  • Assist in month-end closing and audit preparation by providing AR-related data.

  • Maintain compliance with internal financial controls and industry regulations.

Qualifications:

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.

  • 2-4 years of experience in accounts receivable, preferably in the construction industry.

  • Knowledge of construction billing practices, including AIA billing and lien releases.

  • Proficiency in accounting software (e.g., Sage 300, QuickBooks, Viewpoint, or similar).

  • Strong organizational skills with high attention to detail and accuracy.

  • Excellent communication and interpersonal skills.

  • Ability to work independently and manage multiple priorities in a deadline-driven environment.
